Your personal data – what is it?
Personal data relating to a living individual who can be identified from that data. Identification could be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation (the “GDPR”).
FEDORA is the data controller. This means that FEDORA decides how your personal data are processed and for what purpose.
How do we process your personal data?
FEDORA complies with its obligations under the GDPR by:
- keeping personal data up to date;
- by storing and destroying it securely;
- by not collecting or retaining excessive amounts of data;
- by protecting personal data from loss, misuse, unauthorised access and disclosure by ensuring that appropriate measures are in place to protect personal data.
FEDORA uses your personal data:
- To enable FEDORA to communicate with its members and other residents who have told us that they would like us to communicate with them.
- To maintain our accounts and records, including enabling us to contact members and residents regarding the FEDORA annual subscription.
The legal basis for processing your personal data
- Email addresses and telephone contact information of members and residents are kept and processed as a legitimate interest of FEDORA to enable us to communicate with you. You may choose for FEDORA not to communicate with you by electronic means and/or telephone.
- Names and addresses of owners are processed as a legitimate interest of FEDORA. These are used to enable FEDORA to better understand the concerns and interests of the members and residents who have signed-up to receive its communications.
- Processing relates only to current or former members and residents.
Sharing your personal data
FEDORA will not provide your email address, phone number or other information held by it to any third party (including other members or residents) without your specific permission.
How long do we keep your data?
FEDORA will keep your personal data for as long as you remain a member or interested resident. Once you cease to be a member or interested resident, FEDORA will remove data with the exception of data which are required to enable it to claim amounts due to FEDORA or relating to legal issues.
Your rights and your personal data
Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data:
- The right to request a copy of your personal data which FEDORA holds about you.
- The right to request that FEDORA corrects any personal data if it is found to be inaccurate or out of date.
- The right to request your personal data are erased when it is no longer necessary for FEDORA to retain such data.
- Where consent has been given to process the data (not applicable at the moment), the right to withdraw your consent to the processing at any time.
- The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing.
- The right to lodge a complaint with the Information Commissioner’s Office.
Further processing
If we wish to use your personal data for a new purpose, not covered by this Data Privacy Notice, then we will provide a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and when necessary, we will seek your prior consent to the new processing.
